Tour Center Coordinator (New Home Builder)


Summary: This individual will be responsible for the presentation & management of the Sales Office and Model Gallery plus the coordination of Sales Office administrative duties. Overseeing the Tour Center Assistant (TCA) team may also fall under their responsibility depending on community needs and local team structure. This position is also responsible for coordinating select local marketing efforts and programs including but not limited to on site events, collateral and directional/community signage by working closely with the Regional Marketing Coordinator (RMC).
Essential Duties and
Responsibilities:
Oversee TCA team; schedules, training; execution of roles this may be under Sales Manager responsibilities
Working with TCA team if applicable, greet each appointment by name and inform them that the team member they are meeting with will be waiting for them.Contact the team member and inform them that their appointment has arrived.
Confirm that all Sales Office facilities, equipment, and technology are fully functioning and clean at all times.
Working with TCA team, track and record all new and return traffic and other Guests in SalesForce.
Reconnect Guests and Future Members with the Community Representative who has been serving them when they return to the Tour Center.
Ensure that the Sales Office stay neat and presentable throughout each day.
This includes merchandising in TC and model homes: displays, posters, free-standing brochures maintained in an organized and visually appealing way
Receive and distribute mail (postal, interoffice and e-mail).
Ensure community collateral packets are available for disbursement to meet needs based on guest traffic.
Review and coding of locally-generated marketing invoices so they are complete and submitted to General Manager/Sales Manager for approval. IE: Local Signage company (non- corporate)
Screen, direct, and/or handle incoming calls correspondence, and e-mail to ensure that requests are handled effectively.
Distribute information to staff regarding policies, procedures, meeting schedules, etc.
Keep the sales team informed of promo schedules and materials, IE: Sending out the final newspaper ad, magazine ad, etc to the sales team. This latter item is in conjunction with the RMC.
Attend all sales meetings and marketing meetings to keep abreast of current information and report on marketing activity.
Coordinate temporary off-site signage, including weekend bootlegs, directionals, and permanent or municipal signs based on direction and guidance on creative and by RMC determined by marketing corridor.
Coordinate on-site signage, including monuments directionals, identifiers based on designs developed via RMC.
Coordinate with Director of Golf and BlueStar resort team leaders on opportunities for joint marketing events, oversee and help coordinate photography and collateral materials to be requested through RMC, etc. for these entities.
Coordinate getting photos, videos and descriptions/post-reports on community events and Club staff to RMC and potentially social media partners.
Participate in initiation of printed marketing materials and collateral working closely with RMC and coordinating on-site team approval of materials
Responsible for implementing and maintaining an inventory system for managing collateral needs. Work with RMC and to ensure proper lead times for efficient printing. Work with sales team to ensure they have the tools they need.
Coordinate and execute an Ambassador program with select Members to enhance Guest experience in high-traffic periods and at events
Maintain relationships with Central Services Sales and Marketing Team, RMC, promotional product vendors
Coordinate production of non-global promotional materials and accessories like mats, napkins, cups, water bottles etc. via approval from RMC.
Along with General Manager, maintain Sales & Marketing budget, complete monthly budget review.
In start-up locations, coordinate the scheduling and logistics for Trilogy Living Vision sessions throughout the pre-opening time frame working closely with the RMC and sales manager.
Assist in coordination of sales team trainings, seminars and team building events.
Compile and report sales and marketing data for weekly report to Central Services Sales & Marketing leaders
Compile and report sales and marketing data for monthly Business Operating Measurements.
Plan and execute effective marketing special events to attract traffic as a high business priority. This requires creativity, attention to detail and strong follow through. Event schedules to be developed on an annual basis and tracked as campaigns through SalesForce.com. This also includes identifying BlueStar managed events that can be used to create return Guest visits for Sales. Communications for events to be developed working with the RMC.
Assist with outbound calling campaigns as determined at the community level.
Create and maintain SharePoint filing systems and records for all marketing materials and reports.
Work with vendors to ensure an appropriate vendor contract is set in place for all jobs (ie: model cleaning)
Work with appropriate team members and with Alpha-Vision to ensure floor plans are always correct and up to date on collateral and website.Maintain the Digitial Sales Assistant (including but not limited to lot availability, sold homes, etc.)General office maintenance, ordering of office supplies, apparel. and collaboration with sales team members onspecific office needs Communication of Inventory Home creation, relaying to RMC, coordination of photography and Video Tours, cleaning and landscape schedule, etc.(Refer to Designer Home SOP)Coordination of logistics for broker outreach (for example packets, F&B, scheduling)Coordination of member closing (key delivery and closing process, coordination of gift, champagne toast)Coordination of new member process: IE: Sold sticker on lot sign, pictures, photo release. Coordination of photography of all new team members, followed by distribution to appropriate parties and assisting internal team with placement of their photos.
Coordinate the execution, scheduling and tracking of the Taste the Good Life try before you buy program and/or Day Pass program where applicable. Communications for the program to be developed working with the RMC. Accounting of all costs and revenue associated with the Taste the Good Life Program. Proper tracking of Conversion rates related to the program.
Salesforce Power User. Mastery of all salesforce reports, dashboards, guest data entry
Updating of CC&R's, Public Reports, etc on appropriate distribution of
Update appropriate departments (CIC) of new and departing team members.
Work with other TCC's across the division to establish best practices.
Daily management ofthe guest rotation process.
Execution of House to Home Events
Management of any company vehicles, insurance, maintenance, etc.
Ensure Guest Experience is always a priority at all touch points
Execute on Trilogy 10 in all areas of the business
Knowledge/
Experience:
Bachelor's degree or equivalent combination of education and experience preferred
Previous experience in a continuous improvement environment a plus
Marketing and Event background preferred.
Knowledge of the home building and real estate industries a plus, but not required
Real Estate license a plus, but not required
